The Barn KT9 Camping T&Cs

The Barn KT9 expects guests to follow the government’s rules and keep abreast of changes that may affect their stay. Should rules be imposed such as a full lockdown, or restrictions on group sizes or camping after you have booked meaning your stay no longer complies with restrictions, The Barn KT9 will offer you either a new date for the booking, subject to availability or a full refund. 

If you or a member of your party contract or show symptoms of Covid-19 before your stay:

  • 1 week or more before your stay, you must email hello@thebarnkt9.com as soon as possible so we can attempt to resell your tents. If we can fill them with guests that you or we have found, we will refund your booking minus a £50 administration fee. If your tents cannot be filled, unfortunately, we cannot offer a refund.

  • Less than a week before your stay, you must email hello@thebarnkt9.com, we will not be able to refund your stay, but we are happy for you to transfer your booking to friends or family provided you let us know the new guests' details.

The Barn KT9 has conducted a full Covid-19 risk assessment and expects guests to comply with the requirements at the time of their stay. This may include checking in with the NHS App upon arrival. If a member of your party or a close contact tests positive for Covid 19 during or after your stay, you must contact The Barn KT9 at hello@thebarnkt9.com immediately. We will contact anyone potentially affected within GDPR guidelines.

Non-compliance with any Covid-19 regulations can result in guests being asked to leave the site without a refund. 

 

CHECK IN/OUT

Check-in is from 3pm to 6pm. We can often accommodate slightly earlier arrivals with warning. Please contact us via email with any requests and we will do our best to accommodate you. Your tent or area will be marked on your arrival, if nobody is here please make your way to the tent.

You can check out until 12pm on day of departure.

PAYMENT

For 2021, all payment is required in full at the time of booking your stay at The Barn KT9. 

CANCELLATION POLICY

Payments for bookings are non-refundable. If it becomes necessary for you to cancel your booking, tell us immediately by email.  We will then try to re-let your space to another group.

If we manage to re-let the tent/s we will refund your money, less a £50 administration charge.

We recommend that you take out travel and cancellation insurance.

GROUPS

The person booking, when booking on behalf of other people, is responsible for communicating the appropriate information to those persons that we send them. For example, these Terms and Conditions, Tent details including directions, and the information given on arrival, to ensure they are fully aware of the nature of the campsite, Health and Safety issues, the wider farm area, the facilities, appropriate clothing and footwear they require.

DAMAGE

All bookings in our bell tents are subject to a discretional £100 damage deposit which will be taken on arrival, and refunded on departure.

If you cause any damage to your tent or elsewhere on the site during your stay please inform us immediately so that we can inspect the damage and let you know as soon as possible what the result will be. Accidents happen, please let us know if they do.

We reserve the right to charge guests for any damage caused to your tent or to the site in general. This includes using confetti which is strictly banned from the site for environmental reasons and requires a deeper clean to restore for the next guests staying.

For any serious damage caused to the site, equipment or property, we reserve the right to charge the card of the original booking to cover the costs of any damage.

NOISE

The Barn KT9 is a quiet space. Please be respectful of other guests and don’t play music either loud enough or late enough to disturb any other guests or neighbours. After 11pm, we ask for all noise to be kept to a minimum, unless you have exclusive hire of the space when some discretion may be granted after discussion with the landowner.

The Barn KT9 is a working farm, and this will mean occasional use of noisy machinery and equipment including a grain dryer. The Barn KT9 will try to keep any agricultural noise and nuisance to a minimum where possible.

The Barn KT9 also has other businesses on site which guests should be aware and respectful of.

 

CARS & PARKING

Cars are not permitted to drive onto the camping field. The parking area is marked adjacent to the field on hard standing and cars should be left here. The Barn KT9 accepts no liability for any damage to cars during your stay.

 

DRONES

The Barn KT9 campsite is adjacent to an active light aircraft runway and commercial Helipad. As such, use of any Drones, quadcopters or model airplanes on the site is prohibited at all times. 

OCCUPANCY

The Barn KT9’s Bell Tents have a maximum capacity of four persons. The area for guests to bring their own tents has a capacity of no more than 20 guests total, or four tents.

We don't allow anyone on site who is not staying with us, unless this has been specifically requested prior to your stay and we have agreed to it under the specific circumstances. 

WARNING

Please remember you are staying on a working farm environment with live animals and other hazards including the proximity of deep water. Some of the camp equipment can be dangerous if misused. The proprietor accepts no liability for any accident, injury, loss or damage sustained by any resident, their family, visitors, animals, vehicle or personal effects however caused.

BREAKAGES

Any damage or breakages which may occur must be paid for. Small accidental damages or breakages of a minor nature will not normally be charged but you are required to report all breakage and damage to the owners at the time or before you leave the camp.

COMPLAINTS

Any complaints must be made known to The Barn KT9 at the time. No complaints will be entertained at the end of the stay or after the guest has departed. 

CLOSURES

In extreme weather The Barn KT9 reserves the right to close the venue. No refund will be given if the site is unable to open due to extreme weather and if we feel the venue has become unsafe but alternative dates will be offered for your payment to be set against.

CHILDREN

The Barn KT9 welcomes families, and we pride ourselves in providing a safe environment for children. You must always make sure your children are safe, and if they leave the camping field they must be accompanied by an adult.

PETS

The Barn KT9 welcomes dogs, but please let us know you are bringing them so that if any of our other guests have allergies or concerns we can keep everyone happy. Please bring a bed for the dog, keep it close at all times and pick up after it. If a dog causes a nuisance, or is found unaccompanied at any time, we reserve the right to ask you to leave the site without a refund.

BELONGINGS

The Barn KT9 accepts no liability for any belongings left on site at any time, including but not limited to within tents and cars. If you have valuable items that you wish to leave in a secure place please let us know and we will store these for you at your own risk.

SMOKING

Smoking is not permitted inside the tents or any covered spaces on the farm under any circumstances. Smoking outdoors is permitted but please collect any cigarette butts and dispose of them appropriately. In dry weather, ensure all cigarette butts are fully extinguished due to enhanced fire risk.
